General


Adapting to suit and audience

Voice modulating

Modulating your voice is an important area when it comes to engaging an audience it means increasing the pitch up and down. this will keep the audiences attention because raising your voice indicates that you are making an important point. within the rainbow organisation this will help when addressing people about certain issues  if the pitch throughout a presentation is the same then it can be very boring and the audience will not be interested in what you are talking about. This will improve relations between staff and clients because when speaking to them they will constantly being concentrating on what your saying. if this is not used properly them people will not understand why you are drawing attention to random words and will end up not paying attention with you want them to. 

Pitch change

This is a change in frequency in speaking tone which can gain the audiences attention very quickly and will encourage them to listen to the point your are making, This can be used if the audience are starting to get bored and will regain full attention to your presentation. this will improve relation ships between staff and clients because it means conversations will be more effective and the people will be listening more so will take more meaning from it. if this is not properly used then it will disrupt presentation or conversation and people will get annoyed.

Terminology

Terminology is being selective in the way you speak to the audience to make sure that everyone understands you. if you are speaking to a young audience then you must use simple words etc if the terminology you use is to advanced for the audience then they will find it very hard to understand the subject and will lose interest quickly. if the terminology is too simple then the audience will also get bored quickly and wont pay attention to you.

Engaging an audience 

Changing intonation
The main thing when engaging and audience is to keep their attention this can be done by doing various different things such as varying the tone of voice, also stopping for brief periods after talking to let the audience take in what you have said,

Use of technology

When making a written presentation then short sentences or bullet points will keep the audiences attention and will make it a lot easier to understand. during a presentation using multimedia can engage the audience a lot more and make the learning more pleasant rather than talking for the whole time.
Powerpoints with pictures and videos are a great way of making a presentation. a balance is needed between multimedia and proper information as to much of either will mean the presentation wont be as effective.#

Question and answer

A question and answer normally at the end of a presentation can be very effective as it will let you know how much people were actually listening during the presentation and will clarify points that you may have  test their knowledge on the subject you were presenting.


Interpersonal









Introduction.

Interpersonal communication is information which is given and collected by people while communicating, it is used to influence the attitude and behaviour of others. it will form and maintain relationships as people are exchanging feelings and emotions. people will express themselves to others and share opinions of various things. people will communicate to solve problems and discuss different issues. Also while communicating people will anticipate and predict behaviour. Interpersonal communication is necessary so that people can exchange information and feelings they have about different things. it could be used within the rainbow organisation for staff to communicate with managers and share or receive information such as the tasks that they are giving for the day or what hours they will be working during the week.


Methods 

Verbal - communication between people by talking and listening. When someone is talking they will automatically assume that the other person is listening. If one person is not listening while being spoken to then they are unlikely to understand what is being said. Verbal communication can be used within the rainbow organisation for staff and managers for example to communicate and share information.

Signing  

Sign language is a way of communicating for people who may be deaf or hard of hearing in which people use different hand movements and body langauge to communicate instead of talking. facial expressions can also be used to emphasis words etc and make it easier

Lip Reading 

lip reading is a way in which deaf people can communicate with people because they cannot hear they speaking, they do this by watching the other persons lips as they speak and from this they can understand what words they are saying.


Positive Language

Positive language will let the listener know what the goal is, it can also tell the listener what can be done and other alternatives or choices which may be available. it sound positive and encourageing rather than negative and unapproachable.

Few examples of positive language -
  • The word Yes
  • Smiling/nodding
  • leaning forward
  • I would like to learn more about this
  • Thats interesting.
  • Lets look for alternatives
This positive language will be encouraging to a listener and will mean they know your positive about what is being said.




Written communication

Written communication is communicating through a letter or email instead of face to face or talking.
Proof Reading

Proof reading is necessary within the rainbow organisation because there will be a lot of letters and emails being sent out and everything must be proof read by an employee to make sure that there are no spelling mistakes and that the email or letter gives out the proper meaning that the organisation intends it too.

It can be necessary to communicate in writing because people do not have time or money to make phone calls or talk face to face all the time and this is where emails and letters are useful. Proof reading can be used within the rainbow organisation because emails will be sent to the different departments to exchange information.


Grammar And spelling

Correct grammar and spelling is necessary in the rainbow organisations because it will not look very professional if letters and emails are sent and they have poor grammar and spelling, and may also cause confusion if not written properly. common spelling and grammar mistakes in written would could be something as simple as leaving out a full stop or spelling a word wrong,(Their,There,They`re)(lose,loose) or it could be just using a word in the wrong context.

The rainbow organisation could not be taking seriously if their written communication contained a lot of spelling and grammar mistakes, An employee can be used to read over work before it is submitted and also perform spell checks ,and this will mean there is a slim chance of spelling and grammar errors.
